The Archive, Records Management and Museum Service is part of Corporate Affairs and Management Services. We preserve, manage and provide access to the University's archive, art and artefact collections. We promote their use by staff, students and the public in research and scholarship; and in displays and exhibitions. In addition, we operate a records management appraisal, storage and retrieval service for administrative and academic departments to help the University make the best use of its resources and ensure that important events of the present are recorded in the archives of the future.
This document provides guidelines on the creation of committee records and handling of committee documents, with particular reference to Freedom of Information.
Disclosure Information refers to criminal record information disclosed to the University to enable us to assess the suitability of applicants for particular posts and to make safer recruitment decisions. The University operates a strict policy on handling, holding and destroying Disclosure information.
The University's Policy on Management of Student Files and Records aims to reduce duplication, increase efficiency and ensure compliance with the Data Protection Act. Best practice in file maintenance and storage are outlined.
Records created in the course of University business belong to the University, rather than the individuals that create or use them. However, everyone within the University has defined and shared responsibilities for managing records. This policy defines a structure for the management of the University's records.
Records Management is primarily concerned with the storage of semi-current and non-current files which are no longer added and referred to on a daily basis. All requests for the retrieval of records should be made using this form, indicating the urgency of the request.
The University Records Management Service can help you release valuable office space by transferring records that are not updated or referred to frequently. You can do this safe secure in the knowledge that your records, if accepted, will be catalogued on our database for easy retrieval. All transfer requests should be submitted on this form.
This policy sets out the retention period necessary for examination scripts and marked course work.
Staff records in computer and hard copy format are maintained in the Human Resources office. Staff may ask to see their personal file and only material given in confidence, such as references, will not be made available. Staff (and Heads of School/Section) should notify Human Resources of any change of address, status or qualification using the Change to Personal Details Form.
